Program Coordinator

Supervisory Responsibilities:


Position Objective: Under the direct supervision of the Program Coordinators, perform all duties as described in the Team Lead job description. Serve as a mentor to assist in the orientation and training of newly hired staff. In coordination with the Program Coordinators, train/coach and supervise program instructors assigned to area of responsibility. Train/coach program instructor with community-based learning initiatives. Develop daily schedules which are developmentally and age appropriate. Will follow Rule 50, Dept. of Human Services Rule 115, Rule 116, Rule 119, Rule 120, and other relevant regulatory guidelines.

Essential Duties/Responsibilities

  2. Manage all responsibilities based on the agency mission, using individual choice and all appropriate policies, procedures, and regulations.
  3. To conduct oneself in a manner that reflects the highest standards of professional courtesy and ethical practices to people served, staff, guardians, families, and all outside contacts.

Staff Supervision

  1. In conjunction with the HR department, interview, hire, supervise, assign, evaluate the performance of, and when necessary, discharge assigned personnel directly and in cooperation with appropriate department heads.
  2. In coordination with the Program Coordinators, provide training to staff assigned to area, including but not limited to; OJT (on the job training) and if needed CBTA (competency based training assessment).
  3. Mentor new staff and existing staff to assure proper implantation of programs, personal assistance and adherence to relevant policies and procedures.
  4. Implement coaching strategies (prompts, role model, support) when training/retraining staff assigned responsibility.
  5. As needed, make recommendations for staff training and refresher classes.
  6. As needed, aid in discipline procedure.

Program /Department Development, and Coordination

  1. Implement recommendations in accordance with the Individualized Service Plans.
  2. Ensure that individuals in assigned area are participating in all phases of their program, e.g., curriculum activities, job readiness training, work skills, therapy, recreation, training, leisure, and social skills at scheduled times.
  3. Ensure that daily schedule is followed.
  4. Assist in developing training materials including task analyses and instructional guides.
  5. Function as a team member, enlisting the cooperation of both persons served and staff in performing job duties.
  6. Maintain assigned area in a safe, clean and orderly condition in an effort to provide an atmosphere conducive to instruction and training.
  7. Develop and maintain an inventory of supplies, equipment, task analyses, instructional guides, and training materials for assigned area.
  8. Attend scheduled staff meetings and interdisciplinary team meetings as requested.
  9. Assist Support Services personnel (physical therapists, nurses, etc.) in implementing and carrying out group or individualized programs.
  10. Provide or implement instruction/training for speech/language goals and OT/PT goals if applicable by area.
  11. Develop activity schedules which provide individuals with opportunities to learn new skills and maintain current skills.

Documentation and Reporting

  1. Record production data and other data on progress through the use of Therap, agency data sheets, behavioral charts, and worker evaluation forms.
  2. Record daily attendance as assigned.
  3. Report to the SSD any specific needs or potential health or safety hazards.
  4. Ensure all documentation for the area is completed and processes are in accordance with EP!C policies.
  5. Record staff breaks and attendance.
  6. Track paid leave for program instructors to assure appropriate staffing for program area.
  7. Provide input into staff evaluations with the SSD.

Fiscal Management

Marginal Responsibilities

  1. Perform other duties as assigned.
  2. As a mandated reporter ensures all allegations, abuse, and neglect are reported as required.

Education/Experience Requirements

  1. High school education or equivalent preferred
  2. Supervisory experience needed
  3. One year experience with persons with developmental disabilities.
  4. The ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence.
  5. Ability to effectively present information in one-on one and small group situations to customers, clients, and other employees of the organization.
